Your business is growing. Your systems aren't.

It’s Tuesday morning. The phone rings. A client you sent a quote to three months ago wants to know exactly what it covered. You open Outlook, scroll through dozens of emails, and eventually find a Word document named “quote_final_v3_ACTUALfinal.docx”. While you search, you wonder: did I already call this client for follow-up? No idea. It was never written down anywhere.

Sound familiar? You’re not alone.

The reality behind the spreadsheets

Many SME owners recognise this exact pattern: tracking stock in an Excel sheet that never quite adds up, building quotes by hand in Word with prices adjusted by feel, and customer contact scattered across an overflowing Outlook inbox. It works, until the business grows and nobody quite knows anymore who spoke to which client, which quote is still open, or what was promised.

The numbers confirm what you probably already feel. Research by GetApp among Dutch SMEs shows that less than half (42%) actually use a CRM system, and that nearly half of companies with 10 to 49 employees get by without one. Some of the surveyed companies even report tracking customer relationships via Excel, Google Sheets, Word and PowerPoint, exactly the combination that is daily practice for many business owners.

The quoting process turns out to be a recurring weak spot too. Analyses from SME agencies show that quotes are often built by hand in Word or Excel, that prices are adjusted by feel, and that follow-up happens ad hoc, resulting in delays, errors and missed revenue. Not because business owners are careless, but because nobody ever took the time to properly set up the process.

Why this keeps happening

This isn’t a matter of unwillingness. Research into digitalisation among smaller SMEs points time and again to the same three bottlenecks: lack of time, lack of money, and lack of knowledge to set it up properly themselves. Introducing a new system feels like a project you don’t have room for right now, when really you just want to keep running your business.

The problem is: those spreadsheets and Word documents don’t grow with you. What worked when you had three clients doesn’t work anymore at thirty. Information becomes fragmented, nobody on the team quite remembers what a colleague agreed to, and opportunities slip through the cracks, not for lack of will, but for lack of overview.

Where FortCRM comes in

This is exactly why FortCRM exists. Not to sell you yet another system you’ll abandon after three weeks, but to help with what comes after: making sure the system genuinely becomes part of how you work, and keeps fitting where your business is growing toward.

With Pipedrive as the foundation, we bring your customer data, quotes and follow-up together in one central place. But the real difference is in what we do on top of that: a short, structured ambition talk every month. Where does your business stand now? Where do you want to go? What needs to change in your system to get there? And what measurable result do we agree on for the coming month?

Not a piece of software left to its own devices. A steady partner who thinks and grows along with you, while you do what you’re good at: running your business.

Do you recognise yourself in that Tuesday morning scenario? Then this is the moment to stop searching through Outlook, and start with overview.
